It’s Back to School Time…So Let’s Review!
Make your tour plans easier on yourself by following some basic steps:
Since March 1, 2011, tour plans are done via the council web site –faxed or scanned copies cannot be processed in the manner required. This is to be done electronically ****
- Read the guidelines FIRST
- Download the link for the tour plan each time – we cannot overwrite already approved tour plans - we are generally locked out on our end once they are approved.
- Be sure that your tour leadership has the current updated trainings needed for any given activity/trip. When filling out the training expiration dates on page 2, if the date has passed – you need to update!! Both tour leaders’ training must be filled in. Give information only pertinent to the tour leaders and the activity (i.e. no need to list swimming certifications when you are going on a “regular” camping trip, etc).
- When in doubt – refer to the ‘Guide to Safe Scouting,’ available by typing that into the web, for answers to questions regarding age appropriate and/or unauthorized activities, specifics for CPR, First Aid and the like for certain activities, etc.
- Be Aware: All National Adventure Bases will require Wilderness First Aid and CPR starting January 1, 2012. As the Wilderness First Aid is an approximately 16-hour course…don’t wait until the last minute. We will NOT be able to approve the tour plan without it – the National Bases will not accept your group without the properly processed tour plan. NOTE: NO ON-LINE CPR or FIRST AID COURSES are sanctioned by National. You must take the course in person, including the practicals which include, but are not limited to, resuscitation exercises, etc.
- National Tour plans are handled on the same form but also require the additional trip itinerary and in some cases, certificates of insurance from your transportation vendor.
- MOST IMPORTANTLY: Provide at least the two weeks notice in order to have your tour plan processed. Once you have made trip plans and have your tour leaders set, file the tour plan application. If there are corrections needed and they are not provided in time, you may not receive the approved plan. This could affect not only your ability to be allowed into certain venues, but also any claims made should someone on your activity become injured. (As Mom used to say: “It’s all fun and games until someone gets hurt!”). The fall and spring are busy times – don’t let your tour plan be in jeopardy because it is sent in too late for proper handling…
****There are still ongoing problems for MAC users. When and if the problem is corrected we will be the first to let you know.
High Adventure Trips - Planning a high adventure trip at any of the National bases? Please note that Wilderness First Aid is required for all as of January 1, 2012, including Sea Base. No tour plans can be approved without one of the tour leaders having this training. This is American Red Cross training. Our council does not offer this training. We can advise that Patriots’ Path council does offer this course, please contact them at 973-765-9322.

New Tour Plan Guidelines - effective March 1, 2011/revised March 15, 2011
NOTE: Council Policy is and always has been a 2-week turn-around in processing tour permits. National is asking for 3-weeks. In the past, we have been frequently been able to accommodate a shorter turn around; however, due to changes in the National guidelines, we may not be able to process tour plan requests submitted less than the 3-week period. Please plan accordingly and submit all tour plans at least 3-weeks in advance of your trip. Be sure to read the new Tour Plan Guidelines regarding new requirements.
